Effective Strategies for Organizing Worksets in Revit Software

When setting up a workspace for a work-sharing project, please consider the following recommendations.

Planning Worksets

By using worksets, you can restrict editing privileges so that only designated users can modify elements within a specific workspace. This approach offers several advantages:

  • Easy Editing: Dividing a project into multiple worksets allows team members to edit different parts simultaneously.
  • Visibility Control: When linking a Revit model to another project, you can manage overall visibility. For example, you might want to turn off the visibility of the “Shared Levels and Grids” workset to avoid having to disable elevation and grid lines separately in each view.
  • Visual Identification: Display modes can be assigned to worksets, making it easier to distinguish them within the model.

Checking Out Worksets to Prevent Changes

In file-based work-sharing projects, checking out worksets can be useful to prevent accidental modifications to certain elements, such as building grids or linked files. Typically, the BIM administrator or team leader will check out worksets containing elements that should not be casually edited or repositioned.

Avoiding Overlaps

Creating non-overlapping worksets helps prevent conflicts and interference between different work areas.

Considering Project Size

The size of a project influences how worksharing should be structured. Generally, elements that are edited together should be grouped within a single workset. There is usually no need to create a separate workset for each floor.

However, in multi-story buildings, you might create worksets for specific building components that appear only on certain floors, such as boilers or rental room interior sets. If a floor slab is too large to fit on a single drawing and needs to be split, it may be necessary to create separate worksets for each side of the building.

Roles of Workgroup Members

Designers typically collaborate within a workgroup, with each member assigned specific functional tasks. Each team member controls a particular design component, such as interior, exterior, site, HVAC, electrical, or bathrooms. The workset structure should reflect this task subdivision, with worksets named accordingly.

Worksets and Templates

Note that worksets cannot be included in project templates.

Default Workset Visibility

Setting certain worksets to be invisible by default can improve Revit’s performance by reducing load times when drawing other project views.

To decide which worksets should be visible, consider how often the elements within them need to be displayed. For example, external worksets may be visible by default, while specific furniture worksets might be hidden.

Displaying Worksets in Multi-Discipline Workflows

When creating a new workset, make sure to select the option “Visible by default in all views.” If this option is unchecked, worksets may become invisible, which can cause issues in multi-discipline workflows where visibility of functional elements is essential.

Groups and Families

Groups and families have both type and instance worksets, which can be assigned to different worksets.

All elements within a group belong to the group instance’s workset. To edit a group, set the group type’s workset to editable or borrow the group types. To modify elements inside a group, set the group instance’s workset to editable.

To find out which workset an element belongs to, select it and check the “Workset” property in the Properties palette.

When borrowing an element to check out a group instance, Revit will automatically borrow all elements within that group.
