Proofreading plays a crucial role in the design process, allowing many design errors to be identified and corrected. In traditional 2D design workflows, once the design drawings are completed, they are printed and submitted to professional reviewers. Reviewers provide feedback, which is then passed on to the next level for further review until final approval is achieved. The collected comments are sent back to the designers, who revise the drawings accordingly.

The traditional use of printed drawings for proofreading can still be applied in 3D design processes. However, with the adoption of BIM technology, collaborative design is now possible through online platforms. Project designers can access central project files at any time and perform proofreading directly within BIM software, eliminating the need for paper annotations. When using Revit for electronic file review, reviewers access the design files at scheduled times and add comments to the identified issues. Once a reviewer finishes, their annotations are saved within the design file, enabling the next reviewer to see previous comments clearly. This reduces redundant effort and boosts efficiency. After all reviews are completed, an electronic spreadsheet can be automatically generated and printed for documentation.
To standardize annotation styles during the review process and enable automatic spreadsheet generation, it is important to set and load a unified annotation family within the initial project template. Start by inserting the loaded review comment family into the drawing that requires feedback. Then, select the inserted review comment family and fill in the relevant review details. Once review comments are added, switch to the review record sheet in the schedule to see all comments summarized. After completing all reviews, synchronize with the central file to save the review results within the design file, making it easy for designers to access. Finally, print and archive the review comments for reference.
